Configure Exchange Online with Outlook for macOS or Mac Mail

Overview
Note:
In order to use Apple Mail in IU's Exchange Online environment, you need macOS 10.14 or
higher, which is required to support modern authentication. Modern
authentication has ended support for Apple Mail on macOS High Sierra 10.13
and older versions.
At IU, Exchange Online allows you to access email, calendar, contacts, and tasks from your personal computer, the web, and mobile devices.
Important:
IU's Exchange Online environment does not support IMAP. For email configuration instructions, including details for those using Linux and Thunderbird, see Configure your email client for Exchange Online.
In macOS, many online accounts, including Exchange, can be set up in System Preferences, available to installed applications.
Instructions
Follow the appropriate instructions below to set up your Exchange Online account with macOS.
Set up Exchange Online in System Preferences for Mac Mail
To set up Exchange Online in System Preferences for Mac Mail:
- Click the Apple menu, and select .
- Double-click .
- From the options on the right side of the "Internet Accounts" dialog box, choose .
- In the setup dialog box that appears, enter your name and IU email address as
username@iu.edu
(not a campus email address), and then click . - If you are prompted with options for or , choose .
- In the IU Login dialog box that appears, sign in with your IU passphrase. You may also be prompted to authenticate with Two-Step Login (Duo).
Note:If you are not prompted to authenticate with Two-Step Login (Duo), and you see an error that says "We're sorry, access is not allowed because you are not enrolled. Please contact your organization's IT help desk for assistance", you'll need to enroll a device in Duo before you can proceed. For more, see Get started with Two-Step Login (Duo) at IU.Note:
If you are prompted to enter an internal URL and an external URL, use the following URL for both:
https://outlook.office365.com/EWS/Exchange.asmx
- In the next dialog box, select the Exchange items you want the store to be able to access, and then click . You will be returned to the "Internet Accounts" dialog box with your Exchange account listed on the left. Your Exchange Online email is now configured for Mac Mail and Calendar.
Note:
If you experience an error when adding your email address, try entering it as
username@exchange.iu.edu
in the address field and username@iu.edu
in the username field.
Set up Exchange Online in Outlook for macOS
To set up Exchange Online in Outlook for macOS:
- Open Outlook by either searching for
Outlook
with the Spotlight menu, or, if an icon is in your dock, click the icon in the dock. - If you are setting up Outlook for the first time (or have deleted an old Exchange profile), you should be prompted with the option to add your Exchange account (likely listed as just your IU username or as
username@iu.edu
). Click .If you are not prompted with the option to add your Exchange account:
- Click the menu, and select .
- In the "Outlook Preferences" window, click .
- In the bottom left, click the (plus sign) and select .
- Enter your IU email address as
username@iu.edu
(not a campus email address), and then click .
- Log in using your passphrase and Duo if prompted (if you have logged in previously, it may simply continue). Outlook should then display "Connecting to Office 365", followed by a message saying "[your account] has been added".
Note:If you are not prompted to authenticate with Two-Step Login (Duo), and you see an error that says "We're sorry, access is not allowed because you are not enrolled. Please contact your organization's IT help desk for assistance", you'll need to enroll a device in Duo before you can proceed. For more, see Get started with Two-Step Login (Duo) at IU.
- Click , or to add additional accounts, click and follow the prompts.
- You may need to authenticate once more with Duo. After a few seconds, your Exchange account will populate in Outlook.
- Click to reveal the other Outlook settings, and then click . Next to "Default time zone for new events:", make sure it is set to the correct time zone. Especially if you have an Indiana city set for your Mac's system-wide time zone setting, make sure it is not set to , but instead to .
