Granting access to your shared mailbox on Cyrus

Indiana University no longer provides a Usenet server for accessing newsgroups. If you are an IU faculty or staff member, you can request a shared mailbox on the Cyrus mail system as an alternative to using a local (IU) newsgroup. If you are an IU student, you can request a shared mailbox if you have faculty or staff sponsorship. See Requesting a shared mailbox on Cyrus

Shared mailboxes are folders that you can give others permission to read. Also, you can give other permission to insert messages into your shared mailbox.

To grant access to your shared mailbox, follow these steps:

  1. Log into your Cyrus mail account via IU Webmail at: https://webmail.iu.edu/
  2. In the menu at the top, click Options.

  3. Under "General Options", click Share Folders.

  4. Using the drop-down list, select the folder that you want to share.

  5. Under "Grant access", next to "User", type the IU Network ID username of the person to whom you want to grant access.

Note: You can't grant access to someone who does not have an IU Network ID.

  6. Click to mark the checkboxes next to the permissions you want to grant. Permissions that are available are as follows:

    • l: List (i.e., user can see the folder)
    • r: Read messages
    • s: Mark with Seen/Unseen flags
    • w: Mark with other flags (i.e., Important/Answered)
    • i: Insert messages
    • p: Post to this folder (not enforced by IMAP)
    • c: Create sub-folders
    • d: Delete and purge messages
    • a: Administer (i.e., user can set permissions for other users)

  7. Click Create to save the permissions for that user. Or, click Reset to clear your changes; click Return to Options to cancel your changes.

To see who has access to your shared folder, follow these steps:

  1. In Webmail, in the top menu, click Options.

  2. Under "General Options", click Share Folders.

  3. Use the drop-down list to select the folder you want to examine. You'll see the Network ID usernames of the people who have access to your folder, and the permissions each person is granted.

To edit the permissions associated with a person, click the radio button next to the person's username, and then click to mark or unmark the permissions you want to grant.
